This page explains how Neapolis s.r.o. processes personal data of website visitors, restaurant guests, people who contact us, and job applicants. It also explains how cookies and third-party services are used on the Neapolis website.

2. What Personal Data We Process

We process only personal data that you provide to us yourself, or data that is necessary to handle specific communication, reservations, or requests.

This may include in particular:

• your e-mail address,
• your phone number,
• the content of your message,
• data related to a table reservation,
• data included in job applicant communication,
• any other information you voluntarily share with us.

The Neapolis website does not have its own contact or reservation form. If you contact us by e-mail or phone, we process your data only to the extent needed to handle your question or request.

3. Contacting the Restaurant by E-mail or Phone

If you contact us by e-mail or phone, we process personal data to handle your question, reply to your message, and manage any related follow-up communication.

The legal basis for this processing is our legitimate interest in communicating with guests and website visitors, or steps prior to entering into a contract or performance of a contract if your communication concerns a specific service.

We do not use data obtained from ordinary communication to send marketing messages without your separate consent.

4. Reservations Through Noona

For online table reservations at the Petrská location, we use the external reservation system Noona.

When you click a reservation button, you leave the Neapolis website and go to a third-party website. The reservation itself takes place in the Noona environment. Personal data processing and cookie use within the reservation system are governed by Noona's own terms and privacy policy.

Noona is not embedded on the Neapolis website as an iframe or reservation widget. The Neapolis website only contains a standard link to the external reservation page.

Neapolis may have access to data needed to process the reservation, such as name, reservation time, number of guests, and contact details, to the extent made available by the reservation system and necessary to secure the reservation.

5. Job Applicants

If you contact us about working at Neapolis, we process personal data that you voluntarily provide in your message or attached documents.

This may include in particular:

• your name and surname,
• your e-mail address,
• your phone number,
• the position you are interested in,
• information about your work experience,
• the content of your message,
• your CV or other documents you send us.

We process applicants' personal data for the purpose of carrying out the recruitment process, assessing suitability, communicating with applicants, and protecting the controller's legitimate interests in the event of potential legal claims.

The legal basis for processing is the controller's legitimate interest in conducting the recruitment process and selecting a suitable candidate.

If you give us separate consent to keep your details in an applicant database, we may continue to process your personal data in order to contact you about future job opportunities. The legal basis for this processing is your consent. You can give your consent by e-mail at info@neapolis.eu and withdraw it at any time.

Please do not send us sensitive personal data unless we expressly ask you to do so.

6. Retention Period

We keep personal data only for as long as necessary to fulfil the purpose for which it was obtained.

For ordinary e-mail or phone communication, we keep data for the time needed to handle the question and any related follow-up communication.

Reservation-related data is processed only to the extent necessary to handle the reservation. Further retention in the reservation system is governed by Noona's rules.

We keep job applicants' personal data:

• for the duration of the recruitment process,
• then for 6 months after the end of the recruitment process to protect the controller's legitimate interests,
• if the applicant consents to being included in an applicant database, for no longer than 3 years from the consent or until the consent is withdrawn, whichever comes first.

After the relevant period expires, personal data will be deleted or anonymised.

7. Recipients and Processors

Personal data may be accessed only by people who need it for their work duties and by contractual processors who help us operate the website, handle e-mail communication, manage reservations, or provide technical support.

This may include in particular:

• web hosting providers,
• website technical maintenance suppliers,
• e-mail and cloud service providers,
• the external reservation system Noona if you make an online reservation,
• the Google Maps service provider, if you give consent to load it,
• other IT and technical support providers where relevant.

We share personal data only to the necessary extent and only where it is needed for the relevant processing purpose.

Some services may involve transfers of personal data outside the European Economic Area. In such cases, transfers are governed by safeguards and rules under applicable legal regulations.

8. Server Logs and Technical Data

Like most websites, the web hosting provider for the Neapolis website may automatically record technical access data as part of normal operation, such as:

• IP address,
• date and time of access,
• the requested URL,
• technical information about the browser and device used.

This data is used solely for the operation, security, and diagnostics of the website and is not used for analytics or marketing purposes.

9. Google Maps

An interactive Google Maps map is available on the pages of individual locations.

The Google map does not load automatically when the page opens. It is displayed only after you give consent – by accepting the cookie banner (“Accept all”), by enabling the External content / Maps category in cookie settings, or by clicking the button on the specific map block.

When the map loads, data may be transferred to Google, and Google may set cookies or similar technologies according to its own rules. These cookies and the related data processing are not under the direct control of Neapolis.

If you do not give consent to load the map, an information preview is shown instead, with the option to open the location directly on Google Maps in a new window without loading any content from Google on the Neapolis page.

10. Cookies and External Content

The Neapolis website uses only essential technologies necessary for the website to function properly. The website does not use analytics or marketing cookies, and tools such as Google Analytics, Google Tag Manager, Meta Pixel, Sklik, Hotjar, Clarity, or similar traffic measurement or advertising services are not deployed on it.

The web fonts and icons used on the website are stored directly on the Neapolis server (self-hosted) and are not loaded from external services such as Google Fonts or Font Awesome. These files do not themselves set any third-party cookies.

Essential technology – storing your choice in the browser

To remember your choice regarding the loading of external content (Google Maps), the website uses localStorage technology in your browser. This is not a classic cookie, but a similar browser-based storage technology serving the same purpose.

• Purpose: remembering your choice regarding the loading of external content / maps
• Validity: 6 months from when the choice was made, after which the choice must be made again

This essential technology cannot be switched off, because without it the website would not be able to remember your choice and the cookie banner would appear on every visit.

Optional category – External content / Maps

This category is switched off by default. Google Maps does not load automatically and is displayed only if you enable this category. You can give consent by accepting all cookies in the banner, by enabling the toggle in cookie settings, or by clicking the button directly on the relevant map block. When the map loads, data may be transferred to Google and cookies or similar technologies may be used according to Google's rules – see the Google Maps section above for details.

Changing your consent

You can change your cookie settings at any time later using the “Cookie settings” link in the website footer. This opens the same settings panel, where you can switch the External content / Maps category on or off at any time.

If we add analytics or marketing tools to the website in the future, we will update this page and add the corresponding category and consent option.

11. External Links

The Neapolis website contains links to external services and social networks, especially Noona, Google Maps, Facebook, and Instagram.

When you click an external link, you leave the Neapolis website and go to a third-party website. Personal data processing and cookie use on those websites are governed by the rules of the relevant operator.

The static Instagram section on the Neapolis website uses local images and ordinary links to Instagram. It is not an embedded Instagram feed, plugin, or iframe.

12. Security of Personal Data

We have adopted appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse, or unauthorised disclosure.

Access to personal data is limited to people who need it to perform their work duties. These people are bound by confidentiality obligations.

Subject to the conditions set by applicable law, you have in particular:

• the right to request correction of inaccurate or outdated data,
• the right to request deletion of personal data,
• the right to request restriction of processing,
• the right to object to processing based on legitimate interest,

• the right to withdraw consent at any time where processing is based on consent.
